1. New User Interface (UI) & Navigation

  • Old layout: double header menus across the top, functional but busy.
  • New layout:
    • Left-hand sidebar navigation with clear modules:
      • Sales, Purchases, GL, Bank, Fixed Assets, Consolidation, etc.
    • Hover to see sub-menus and one-click “+” actions (e.g. new supplier, new PO)
    • “Favorites” for quick access to your most-used screens and reports
    • Clean, modern screen design with better use of space and clearer data grids

2. New Workflow Approvals (AP & POs)

  • Previously: single-step approvals based on supplier, value or budget.
  • Now: multi-step, dual and multi-approver workflows with no hard limits on:
    • Number of steps
    • Number of approvers per step

Key capabilities:

  • Create multiple workflows:
    • By department (Finance, Sales, Services, etc.)
    • By document type (POs, PO invoices, non-PO invoices)
  • Configure:
    • Value thresholds (e.g. auto-approve under £X; Manager £X–£Y; CFO >£Y)
    • Re-approval thresholds if PO and invoice values differ
    • Excluded suppliers (e.g. utilities)
  • Route approvals based on:
    • Multi-dimensional BI code (e.g. specific project or cost centre)
    • Individual dimension codes (department, region, fund, etc.)
    • GL code, supplier, or combinations of the above
  • Example workflow:
    • Step 1: Finance Manager – Dept = Finance, limit £50–2,000
    • Step 2: Financial Controller – Dept = Finance, limit £2,000–10,000
    • Step 3: CFO – Dept = Finance, limit >£5,000
  • Multi-approver steps:
    • Ideal for budget holders – lines can route to different approvers based on coding
  • Finance visibility:
    • Item invoice screen shows approval status at a glance:
      • Awaiting, Approved, Rejected, Action required
    • Drill into the approval timeline:
      • Who approved when, which steps were skipped, who’s outstanding
    • Option to resend / remind approvers
    • Final posting authority remains with finance

3. Bulk Payments & Bank Files

  • Build bulk payment runs by:
    • Bank account
    • Due date / cutoff date
  • Single screen to:
    • Select invoices to pay
    • Generate payment run
  • Send payment run through approval workflow
  • Export bank file in the correct format for your bank (40+ supported), then upload to your online banking portal
  • System creates & allocates payments and can email remittance advices automatically

4. Dashboards (GL, AP, AR, Consolidation)

New dashboards released alongside the UI refresh, with more to come.
